Overview

THE ROLE:

 

The Sr. Executive Assistant to the Chief Commercial Officer (CCO) serves as a strategic partner and right hand, delivering high-caliber administrative and operational support across the CCO’s day-to-day and longer-term priorities. This role anticipates needs, manages complex calendars and communications, orchestrates high-stakes meetings and domestic/international travel, and ensures flawless execution of executive deliverables. The Sr. EA interfaces regularly with the C‑suite, senior leaders, and external partners, exercising impeccable judgment, discretion, and professionalism. The position also supports the preparation of executive presentations and Board materials, drafts highly sensitive communications, and helps on select strategic projects. Success requires independence, agility, and a bias for action, with the ability to operate with minimal supervision in a fast-paced, confidential environment, while ensuring seamless administrative operations (correspondence, expense reporting, and executive office logistics).

 

HOW YOU WOULD CONTRIBUTE:

 

  • Serve as a trusted point of contact between the CCO and internal/external stakeholders, including the C‑suite, Board, senior leaders, and the rest of the team
  • Exercise sound judgment and discretion on sensitive matters; uphold strict confidentiality at all times
  • Anticipate needs and proactively resolve issues before they escalate
  • Own and optimize the CCO’s complex calendar; prioritize requests, protect focus time, and manage shifting priorities with minimal supervision
  • Orchestrate high‑stakes meetings (agenda, materials, attendee coordination, room/tech logistics, minutes, action tracking, and follow‑through)
  • Draft, edit, and proofread executive communications and briefing notes when necessary; screen/triage calls, messages, and email; respond on behalf of the CCO when appropriate
  • Coordinate global team communications, including town halls and cross‑functional meetings; partner with Comms/HR as needed
  • Prepare high‑quality documents, research summaries, and presentations for C‑suite and Board audiences with limited or no supervision
  • Compile talking points, dashboards, and read‑outs to enable informed decision‑making
  • Plan and manage domestic and international travel (multi‑city itineraries, visas, consulate communications, passport renewals, risk/contingency planning)
  • Process and reconcile expenses, corporate card statements, vendor invoices, and related billing; maintain trackers and provide basic analysis as needed
  • Manage Crypto.com arena tickets with a team of two, track requests, confirm within policy, obtain approvals, handle distribution, parking, and catering, and be available 24/7 for any last-minute changes.
  • Create, organize, and maintain electronic and hard‑copy files; manage document workflows (e.g., approvals, e‑signature) with care for confidential/sensitive information
  • Support select strategic projects and cross‑functional initiatives; track milestones, dependencies, and deliverables to closure
  • Flexible hours are required to support executive needs across time zones; occasional travel and after‑hours support for critical events.

Qualifications

SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:

 

  • Minimum 10 years of Corporate Administrative experience, including 3 years supporting a C-Suite Member
  • Demonstrated ability to effectively communicate with C-suite client contacts
  • Strong organizational and interpersonal skills
  • Excellent time-management skills, with the ability to multitask regularly
  • Expert in MS PowerPoint, Word, Excel and Outlook as well as Adobe Acrobat
  • Prioritize to ensure all assignments are completed in an accurate and timely manner while anticipating Executive needs
  • Must be adaptable to an environment where needs and priorities are subject change frequently
  • Common sense, dependability, discretion, resourcefulness, maturity, and attention to detail are required
  • Excellent communication skills – written and oral (must have a professional and courteous demeanor)

 

Education

  • Associate’s Degree (Bachelor’s Degree preferred)
  • Or in lieu of degree, an additional 2+ years of relevant work experience in a Corporate Administrative role supporting Executive Team Members
